Clinical records and retention

Clinical records are kept physically in the patient files and may have backups or digital components in cloud storage with restricted access. The Special Teeth has established a clinical record retention policy of 10 years from the date the patient last received care, without prejudice to other periods that may be required under applicable law.

Access is limited, according to duties and the need to know, to the person responsible for healthcare oversight, authorized reception and patient care staff, and the dentist responsible for the clinical case.

Data transfers

Data may be shared with insurers when necessary to manage coverage, authorization, payment or the corresponding relationship requested or maintained by the patient. Transfers permitted or required by applicable law may also take place. Dentists and specialists who are part of the clinic and treat the case access the information in accordance with their duties.

Receiving care at the clinic does not imply authorization to use patient information for testimonials, before-and-after photographs, social media posts, advertising, campaigns or other promotional purposes. When any of these uses is proposed, the patient will be informed and the corresponding specific authorization will be requested. Refusing will not affect the provision of dental services.

Subscribing to Odonto News is a voluntary secondary purpose, separate from dental care. We collect your name, email address and language; a phone number is optional for this subscription and does not authorize promotional messages by phone or WhatsApp. We only use your email address for Odonto News when you expressly request it. You may unsubscribe or request corrections to your data by emailing info@thespecialteeth.com; refusing or cancelling does not affect dental care.
